These Booking Terms & Conditions apply to reservations arranged through Travel 2 Namibia. Clients are requested to read these conditions carefully before confirming a reservation or making payment.
1. Reservations and Payment Terms
1.1. Deposit Requirements
A 40% non-refundable and non-transferable deposit of the total booking value is required to secure a reservation.
1.2. Outstanding Balance
The remaining 60% balance must be paid in full no later than 60 calendar days before the scheduled arrival date.
1.3. Confirmation of Reservations
A reservation will only be considered confirmed once the required payment has cleared and is reflected as available funds in Travel 2 Namibia's designated bank account, and written booking confirmation has been issued by Travel 2 Namibia.
Proof of payment, payment instructions, bank transfer confirmations or pending transactions do not constitute receipt of funds and do not guarantee a confirmed reservation.
All reservations remain subject to availability until the required funds have cleared and written confirmation has been issued.
1.4. Payment References
Clients must include the correct booking or reservation reference number with all payments to ensure that funds are allocated correctly.
1.5. Bookings Within 60 Days of Arrival
Reservations made within 60 calendar days of arrival require full payment in advance.
1.6. Last-Minute Bookings
Last-minute reservations requiring immediate confirmation can only be secured by credit card payment, subject to successful authorisation, payment processing and availability.
Bank transfers and proof of payment will not be accepted as a basis for immediate confirmation of last-minute reservations.
Travel 2 Namibia reserves the right to decline a reservation where payment cannot be received and verified within the required booking period.
1.7. International Bank Transfers
International bank transfers may take approximately 5–10 business days to reach and clear into Travel 2 Namibia's bank account, depending on the originating bank, intermediary banks, payment currency and banking procedures.
Clients are responsible for allowing sufficient processing time to ensure that the full payment is received by the applicable deadline.
Delays in international banking processes do not automatically extend payment deadlines or guarantee continued availability.
1.8. Bank Charges, Transaction Fees and Credit Card Service Fee
1.8.1. All bank charges, international transfer fees, intermediary or correspondent bank charges, currency conversion costs and applicable transaction fees are for the client's account.
1.8.2. Payments must be made in such a manner that Travel 2 Namibia receives the full invoiced amount, without deductions for banking or transaction charges.
1.8.3. A 3.5% service fee will be added to all credit card payments.
1.8.4. Any shortfall resulting from bank charges, transaction fees or payment deductions remains payable by the client. Reservations will only be confirmed once the full amount due, including applicable charges, has been received and cleared.
2. Late Payment and Non-Payment
2.1. Failure to settle the outstanding balance by the stipulated payment deadline may result in cancellation of the entire reservation.
2.2. Travel 2 Namibia reserves the right to cancel an unpaid or partially paid reservation where the client has failed to comply with the agreed payment terms.
2.3. Cancellation may occur without further notice, and any amounts already paid will be subject to the applicable cancellation provisions.
2.4. Travel 2 Namibia shall not be responsible for the loss of accommodation, activities, services or availability resulting from late, incomplete or unsuccessful payments.
2.5. A reservation cancelled due to non-payment may only be reinstated as a new booking, subject to availability, current rates and payment requirements.
3. Cancellation Policy
All cancellations must be submitted in writing to Travel 2 Namibia.
The effective cancellation date is the date on which written cancellation notification is received.
The following cancellation penalties apply to the total value of the services being cancelled:
| Cancellation Period Before Arrival | Penalty |
|---|---|
| 60 days or more | 40% |
| 59–30 days | 40% |
| 29–15 days | 40% |
| 14–7 days | 75% |
| 6–0 days | 100% |

3.1. Non-Refundable Deposit
The initial 40% deposit is strictly non-refundable and non-transferable, irrespective of the cancellation date, subject to applicable law.
3.2. Calculation of Penalties
Cancellation penalties are calculated against the total value of the cancelled booking or services.
3.3. Deposit Allocation
The 40% deposit forms part of the applicable cancellation penalty and is not charged as an additional penalty.
3.4. Outstanding Cancellation Charges
Where the applicable cancellation penalty exceeds the amount already paid, the client remains responsible for the outstanding amount, subject to applicable law.
3.5. Refunds
Where payments received exceed the applicable cancellation penalty, any refundable balance will be processed subject to separately disclosed supplier conditions and applicable law.
3.6. Unused Services
No refund will be provided for unused accommodation, missed activities, late arrivals, early departures or voluntarily declined services, unless otherwise agreed in writing or required by law.
4. Amendments, Modifications and Date Changes
4.1. All booking amendments, modifications and cancellations must be requested in writing.
4.2. Changes to dates, camps, accommodation establishments, room categories, activities or traveller numbers are subject to availability and supplier conditions.
4.3. Changing travel dates may constitute cancellation of the original reservation and creation of a new booking.
4.4. Where only part of a reservation is amended or cancelled, the applicable cancellation penalty will be calculated against the value of the affected services.
4.5. Administration fees may apply to modifications, alterations and changes to dates, camps or accommodation arrangements. Applicable fees will be communicated before processing.
4.6. Any additional costs or increases in supplier rates resulting from amendments are for the client's account.
